Sign up for an Eventbrite account (this is free)

Instructions for creating, managing and publishing your event is below.
Creating an Event
- First create a Paypal account (instructions above)
- Go to Eventbrite.com and make an account
- Click on “Create Event”
- Enter the title of the training
- Create a Ticket for that event----There is a fee you pay eventbrite for each ticket sold. You can either have the participants pay this fee or you can add it to the budget for the training. To add it to the budget you will need to include the fee in the ticket. Click on the advanced options and at the bottom of the page include the ticket price. Click Save and close.
- After you create a ticket click the “edit payment options” right under your ticket. Here you will enter your paypal account information so the money goes directly into your account.
- Add Event Details (insert link to template)
- Add the date and time
- Add location and directions
- Add a host (the community group or organization sponsoring the training)
- Add a color from the bottom of the page for the event background.
- Add the Web-Friendly Full-Color Pachamama Alliance Logo from the Symposiums Materials page.
- Click on “save and publish” (don't forget this step or your work will be lost!)
- Now click on the event again from the first page where you began creating your event
- Click on Edit
- Click on Manage next to the Edit button
- Under Registration on the left of the screen click on “collect custom information”
- Make sure that name, phone, address and email are all required---check the required boxes. This will help you gather everyone’s information before the training.
- On the left of the screen under “orders” click on Edit Order Confirmations
- You can copy and paste the standard message (insert link) into both boxes or you can create your own message.
- Now click on “View” and this is what the page will look like when people register
- If all looks good—copy the EventBrite Url on the “View” page and send to emily@pachamama.org so she can link this to the ATD website page for your training. You can send this Url link in an email to potential participants as well.
How to manage your event
Managing Registration:
- If you click on the event you are managing you will see on the first page if you scroll down who has recently registered. This is not the whole list.
- Click on Attendee Report on the left of the page under Attendees to get the full list.
- Scroll down to see who has registered
- Here you can Export into Excel from the top of page or Print
- If you export into Excel you will have many unwanted cells. Delete these cells so you just have name, email, address phone and the tuition amount if you like.
Adding Attendees:
Eventbrite does not have a system for partial payments. If you have someone who has received a scholarship or is paying by check or cash you will need to register them manually. They cannot register online themselves.
- To add an attendee who is paying by check or cash or has received a scholarship you will click on the Add Attendees under Attendees on the left side of the page
- Put in the quantity and amount paid
- You can change this amount to what they owe and add a note in the note box of how they are paying and for what amount for future reference
- Press continue
- You will enter all their basic information and click register
- They will receive the confirmation email with the link to the prep assignments
Refunding or deleting Attendees:
- To refund an attendee you will click on that attendee and click on the Quick Actions drop down menu
- Here you can delete, refund or change their information
- Click on Refund This Order
- Click Yes to refund the order
- You will be taken to a page that you will need to go into your PayPal account to issue the refund
- Login into your PayPal account
- Do an advanced search on the person and click on “details”
- Follow the instructions to refund.
- Send an email to the person that you have refunded them and it went back onto the credit card they used to pay with
Note: If it is over 60 days since they have registered you cannot refund them through paypal. You will have to write a check or give them cash back.
